Student organizations must use the online reservation system, Mazevo, to reserve SORC equipment or resources. An officer of a Registered Student Organization (RSO) is required to use their personal NetID in order to access the SORC reservation system; at this time, only officers can make reservations. This requires that student organizations be registered through the Student Activities Office (SAO) for the current year.

PLEASE NOTE:

  • Student organizations register or re-register through SAO
  • All student orgs are greatly encouraged to register by October 31 to avoid a gap in SORC services
  • Student orgs are assigned an RSONetID (RSO email address) by SAO at the point of registration
  • Student orgs receive a Print Code from SORC following registration with SAO
  • Any of the 5 listed RSO Officers can request or update a Print Code from SORC
  • Student orgs are considered registered from one academic year through October 31 of the following year. i.e., RSOs registered for 2023-2024 are considered registered through October 31, 2024.

Resource Center Reservation Process

Online Reservations

  1. Go to the Mazevo.
  2. Log in with your personal UW-NetID email address (Note that you will need to be one of the 5 listed RSO officers).
  3. In the “Main Menu,” under “Requests,” click on “Add New Request.” 
  4. Type in your RSO name in “Event Name” and select “RSO Resource Center” under “Event Type.” Then, select your RSO under “Organization.” 
  5. Provide a date, the start time and end time for your reservation request.
  6. Select “Resource Center” as the “Building,” then click “Find Rooms.”  
  7. For outdoor equipment, click on “Resource Center Equipment,” and select your desired equipment.  
  8. Please ensure there are NO INVENTORY ISSUES after you submit your reservation. If there is a conflict with your reservation, your reservation is NOT confirmed

Resolving Inventory Issues

  1. Under “My Events,” click into your reservation.
  2. The day with the equipment conflict will have an error icon under “Services.” Select that day.
  3. Click on “Resolve Inventory Issues,” and you will be shown how many available equipment there is compared to the number you requested. You can use the available quantity or delete that specific equipment reservation.
  4. If you would like to cancel your reservation, click on “Change Booking” and select “Cancel Booking.”

Day-Of Reservation Instructions

  • Grace Period: Reservations not picked up within 1 hour of the reservation start time will be cancelled.
  • 15 Minutes: Students should plan to arrive at the Resource Center at least 15 minutes prior to their stated reservation start time.
  • Husky Card: Students must leave their Husky Card with SORC staff if borrowing a cart to transport equipment. The Husky Card can be picked up once the cart has been returned
  • Equipment Check Out Form: Students will be asked to review and sign their reservation confirmation agreeing to the SORC Terms and Conditions
  • Load Out: SORC staff will help students retrieve and load equipment for transport
  • Carts: Carts are NOT part of the reservation and can be checked out with a Husky Card (see above). Once done transporting equipment, please return the cart to the Resource Center. Similarly, when your event is finished, come to the Resource Center to borrow a cart to return equipment. There are limited carts, so we ask for your understanding.
  • Equipment Drop-Off: Students must return all SORC Equipment at the return time indicated on their Confirmation/Agreement Form

After Hours Reservation Instructions

RSOs whose events begin or extend past SORC operational hours MUST make arrangements with the SORC Supervisor as well as the SBM (Student Building Manager). Please come into the Resource Center to communicate your event times; we will then go with you to meet the SBM to coordinate equipment pick-up and return.  

RSOs that do not make prior arrangements will NOT be permitted to pick up equipment from the Resource Center outside of operating hours.

Terms and Conditions

Students agree to the following terms when reserving and checking out equipment from the Resource Center.

“I, the undersigned, acknowledge that if the Resource Center’s equipment checked out below is damaged, lost, stolen, or not returned then my student organization and I will be held liable for its repair or replacement. In addition, I agree to abide by the Resource Center’s equipment use policies.”
